Most independent professionals have tried to borrow their operating model from startups or large organisations. The result is a set of tools and processes that were built for teams, not for one person wearing every hat. The system fights you instead of supporting you.

In this session, operations strategist and ClickUp expert [Belinda Long](https://www.linkedin.com/in/belinda-long/) introduces a solopreneur-specific approach to systemising a business, built around her proprietary SAS formula and the ClickUp platform, which she has used daily since 2017.

What is the SAS formula and how do you apply it?

 SAS stands for Structure, Automate and Streamline. Rather than a linear checklist you complete once, Belinda designed it as a continuous improvement cycle. Structure covers the foundational elements of your business: your operating model, templates, task frameworks and standard operating procedures. Automate focuses on removing recurring manual tasks from your workflow, such as client onboarding emails, invoice reminders and quarterly reporting. Streamline is about consolidating disconnected tools into one centralised system so that less time is spent context switching and troubleshooting. The cycle repeats because your business keeps evolving. Each time you focus on a new area, such as a product launch or a new client type, you have an opportunity to revisit and improve that part of the system. 

Why do corporate or startup-style systems fail independent professionals?

  They are built for teams. Processes designed for startups or large organisations assume multiple people, defined roles and shared accountability. When a solo operator tries to run those same systems, they quickly become more administrative burden than operational support. Belinda's analogy is trying to drive a Lamborghini down a dirt track: not a failure of effort, just the wrong vehicle for the terrain. A solopreneur operating system needs to be robust, adaptable and manageable by one person across all functions simultaneously. That requires a fundamentally different design philosophy, not a scaled-down version of something built for ten. 

What is the difference between project-based and task-based operations?

  Task-based work means operating from a to-do list where items are unrelated to each other and prioritised by urgency rather than strategy. You tick things off, context switch constantly and often end the day feeling busy but uncertain whether you have moved anything forward. Project-based operations group work into clear initiatives with defined goals, timelines and processes. Each client engagement, marketing campaign or product launch becomes a container with its own structure. You reverse-engineer from the outcome to identify the steps, which means you always know how individual tasks connect to something bigger. Belinda describes this as moving from reactive to proactive, and from managing tasks to running a business. 

How much time can independent professionals realistically expect to save by using ClickUp?

 Belinda identifies five levers, each with a different level of time impact. Automating recurring admin saves roughly one to two hours per week. Using dashboards for business and financial visibility saves around two hours per week, though for some users it is significantly more. Building reusable templates for proposals, contracts and onboarding saves three to five hours per week and also speeds up client conversion by reducing response time. Consolidating multiple tools into one centralised system saves five or more hours per week by eliminating context switching and troubleshooting.
